Approving a just-in-time access request should take seconds, not a context switch. GrantFlow is building native Microsoft Teams and Outlook integration so approvers can review and act on requests without leaving the tools they already live in.

Why This Matters

Today, approval notifications arrive by email or in-app, and the approver clicks through to the GrantFlow web interface to act. That works — but when you get a request during a Teams call or while triaging your Outlook inbox, every extra tab and login adds friction. Teams and Outlook integration removes that friction entirely.

Interactive Adaptive Cards in Teams

When a user requests privileged access, the designated approver receives an Adaptive Card in Microsoft Teams within seconds. The card shows the request details — who is requesting, which role, for how long, and the business justification — along with Approve and Deny buttons right in the conversation.

After you act, the card updates in real time. Other approvers see that the request has already been handled, and the requester is notified immediately through GrantFlow's existing notification channels.

Actionable Messages in Outlook

The same workflow extends to Outlook via Actionable Messages. Approval requests arrive as rich, interactive emails with embedded action buttons. You review the details and approve or deny without opening a browser. The email card updates to reflect the outcome, keeping your inbox accurate.

Multi-Approver Race Conditions

When multiple approvers are assigned to a request, the first decision wins. If two approvers tap Approve at nearly the same time, GrantFlow handles the race condition gracefully — the first action is recorded, and the second approver sees an updated card confirming the request was already processed. No duplicate activations, no conflicting states.

Reliability

The Teams and Outlook integration is designed to operate independently from the core GrantFlow web application. If one system experiences a temporary disruption, the other continues to function normally. Approval actions submitted through Teams or Outlook are processed with the same reliability guarantees as actions taken in the web interface.
